Job Responsibilities:
. Oversee daily operations including furniture installations, relocations, HVAC performance, and vendor coordination.
. Partner with building management on maintenance, repairs, and tenant improvement projects.
. Ensure compliance with Health & Safety regulations and maintain emergency response and preparedness plans.
. Develop and maintain procedures for building upkeep and FF&E management.
. Build cross-location knowledge to provide seamless backup coverage.
. Manage physical security systems and protocols to safeguard employees, visitors, and sensitive information.
. Collaborate with internal and building security teams maintain proficiency in security software and monitoring tools.
. Administer and review contracts for facilities-related services, ensuring consistent and cost-effective delivery.
. Maintain internal vendor governance policies and oversee furniture inventory, including periodic audits.
. Prepare purchase orders, define scopes of work, solicit bids, and coordinate with external vendors.
. Lead departmental moves and space reconfigurations in compliance with regulatory and internal standards.
. Support lease tracking and renewals coordinate with real estate advisors and global design teams.
. Prepare executive-level presentations, budgets, and proposals for new offices or lease extensions.
. Compile and report monthly environmental data for APAC offices to global headquarters.
. Adhoc tasks and projects as assigned
Job Requirements
. Minimum Degree in a related discipline
. Minimum 6 year of relevant facilities/office administrative experience
. Able to start immediately or within short notice
