Responsibilities:

Pharmaceutical & Medical Supply Procurement:
Facilitate the procurement of pharmaceuticals, medical supplies, and consumables to ensure timely and uninterrupted availability for patient care.
Vendor Liaison & Coordination:
Communicate with vendors and suppliers to request quotations, issue purchase orders, and coordinate delivery schedules in accordance with institutional timelines and quality expectations.
Stock Verification & Quality Assurance:
Receive and inspect incoming stock against purchase orders, ensuring accuracy in quantity, compliance with quality standards, and appropriate shelf life/expiry dates.
Procurement Documentation Management:
Maintain comprehensive and organized records of procurement activities, including purchase requisitions, invoices, delivery notes, and supplier communications.
Inventory Monitoring & Forecasting:
Track stock levels and usage trends, assisting in demand forecasting to prevent shortages, avoid overstocking, and support cost-effective inventory management.
Regulatory Compliance & Audit Preparedness:
Support adherence to internal procurement policies, healthcare regulatory requirements, and audit standards through proper documentation and procedural compliance.
Inventory Reconciliation:
Conduct periodic physical inventory counts, reconcile discrepancies in the stock management system, and report variances to the appropriate personnel.
Administrative Support:
Provide general administrative assistance to the pharmacy department, including data entry, document filing, report generation, and maintenance of digital records.
Operational & Patient Safety Alignment:
Collaborate with pharmacists and pharmacy technicians to ensure procurement activities align with patient safety priorities and operational needs.

Requirements:

Minimum Higher NITEC qualification or equivalent.
Prior hands-on experience in pharmaceutical or medication procurement is required.
